Why marketplace stock figures drift from reality

Every seller has seen it: a marketplace listing says one quantity, the warehouse has another. It rarely happens for one dramatic reason - it's usually several small gaps compounding.

Multiple channels, no shared source of truth

If each channel tracks its own stock figure independently, a sale on one channel has no way to reduce the figure shown on another - the two just diverge over time.

Manual updates that don't happen

A stock figure that has to be manually updated after every sale, return, or purchase order will eventually miss an update - not because anyone's careless, but because manual steps get skipped under normal operational pressure.

Returns and cancellations

A cancelled or returned order should put stock back, but if that reversal isn't applied consistently, the figure creeps downward over time even though nothing physically left.

Unlinked or mis-linked listings

If a marketplace listing isn't correctly linked to the right internal stock record - or is linked to the wrong one - its stock figure will reflect whatever it's actually connected to, not the item a customer thinks they're buying.

What actually fixes it

Use one controlled stock position per SKU, adjust it from every relevant sale, receipt, return and manual movement, and publish channel quantities from that position. Keep a movement history and reconciliation process as well: automation without traceability can distribute a wrong figure faster.
